Registration:

Please remember to register your booth staff with this form link. You may print your tag in advance or at the event when you arrive. You will get a pocket and lanyard at the venue.

eShop:

eShop allows you, for example, to manage all orders related to your participation, invite customers to events, send badges and update your company profile.

Please note that the order form is closed. If you still need, for example, lunch tickets, please send a message directly: energyweek@expomark.fi

Check your invoicing details:

Check your invoicing details on the order confirmation and send any comments to energyweek@expomark.com by 1 January 2026.

Please note that changes made to the invoicing details after the invoice has been issued are subject to an additional charge.

Update your company profile:

We have published a list of all the exhibitors on event website. Please update your company information as soon as possible.

The company name you provided to the sales manager when confirming your event participation will be updated in the list. If you wish to make changes to your company’s marketing name, please do that in eShop – Market your participation.

In addition to the marketing name, you can easily upload your company logo, a link to your company website, pictures and any other information you would like to share with visitors. Please provide all the necessary information about your company as soon as possible so that visitors have enough time to get to know the companies attending the event.

Please note that the marketing name must be updated at least one month prior to the event to be included in the printed brochure.

Invite professionals:

Send customised eInvitations through eShop on the Invite your customers -page. The eInvitation tool allows you to reach hundreds of customers with just one click, and if necessary, you can also send multiple eInvitations to one recipient at once – easily, ecologically, and free of charge. Use only up-to-date registers for which you have marketing permission from the recipients.

The invitation contains a personalized code which your customer can use to skip payment on the event’s registration form. Each code can be used only once. We encourage visitors to register in advance to avoid lines at the registration machines at the exhibition centre’s entrances. When registering, visitors print out a badge that will allow them to enter the event on all days (the badge can also be printed out at the entrance of the Vaasa City Hall).

Stand construction:

Exhibitor’s stand set-up and disassembly

Stand set-up on Tue, Wed and Thu 17-19 March at 07:00-09:00.

The stand can be disassembled and cleared away right after 17:00 on Tue 17th and Wed 18th March, and 16:00 on Thu 19th March. All exhibition items must be removed from the City Hall by 19:00 each day.

Passes for exhibitors:

You can conveniently email or send passes to your event team member’s mobile device through eShop on the Send Passes -page. The pass holder can print it in advance through the email link or the pass can alternatively be printed at the entrance of the City Hall. Badge pockets for passes are available at the entrance of the City Hall.

The exhibitor pass is for your personnel at the stand during the fair. This pass is personal and valid during the construction, event and dismantling periods of the event. The pass must be always visible during the event.

Deliveries to your stand during construction:

Exhibition goods can be sent in advance (no earlier than Fri 13th March) to the address: Vaasa City Hall/EnergyWeek Senaatinkatu 1, 65100 Vaasa, Finland. Please include the sender’s contact information and stand number on the shipment. During the event exhibition goods, boxes etc. can be stored behind the stage in Festival Hall.

Plan and order stand structures and furniture:

Waste Sorting:

Please sort your exhibition waste. After that, we will take care of efficient recycling and recovery.

During the exhibition:

Luggage:
A large outdoor cloakroom is available in front of City Hall, where you are encouraged to leave your bags and coats for the duration of the event day. The cloakroom service is free of charge.

Your own meetings:

As the Vaasa City Hall is extremely busy and crowded during the EnergyWeek, it is often very difficult to find a peaceful place to i.e. take a phone call, join a Teams meeting or simply have a quiet conversation with a potential client.

You can book a meeting room during the EnergyWeek. These rooms are situated at Expomark’s office right across the street from the City Hall (Vaasanpuistikko 12). We have prepared 3 different options for you to choose from: a silent booth (1 person), a small meeting room (4 persons) and a large meeting room (8–10 persons). Please contact energyweek@expomark.fi.

Parking at Vaasa City Hall:

There is no parking available at Vaasa City Hall. We recommend Market Square Parking, which is located near Vaasa City Hall, at the address: Kauppapuistikko 10, Vaasa.

Exhibition Office:

The Information Desk/Exhibitors’ Office at the Vaasa City Hall is at your service daily from 07:00 until the end of each event.

Exhibitor’s package:

You will receive your exhibitor’s package at the Vaasa City Hall. The package includes the latest information on practical arrangements and the pre-ordered lunch and dinner tickets.

Seminars:

EnergyWeek offers a wide range of interesting seminars at City Hall, the Ritz and the Art Hall. Exhibitors are welcome to attend the seminars, and no additional registration is required. Please check the programme at energyweek.fi.


Matchmaking:

Meet new potential business and technology partners at the matchmaking event by taking part in pre-scheduled meetings! Matchmaking welcomes companies and experts from all the sectors of the energy industry. The onsite 1to1 meetings will take place on the 4th floor of the Vaasa City Hall. Participation is free of charge, registration mandatory. Please note that there’s a separate registration to the EnergyWeek events and the Matchmaking. Matchmaking is organized by Enterprise Europe Network.

Café services:

The café services at Vaasa City Hall (Café Maestro) are offered by the Vaasan Steinerkoulu school. Café Maestro is open:

Lunch:

Each stand booking includes two lunch tickets per day. You can order additional lunch tickets via eShop. You will find your pre-ordered lunch tickets in the exhibitor’s package. Please order your lunch tickets by Friday, March 13, 2026 at the latest. After this date, lunch tickets can be purchased on-site at the Exhibitors’ Office.

We recommend using Taxi Vaasa taxis. You can order a taxi by calling +358 (0) 600 300 11. You can find the taxi stand at the end of Vaasa City Hall.

Free of charge EnergyWeek bus transport from and to the Vaasa Airport on Tuesday, Wednesday and Thursday as following:

Be aware of the list scammers:
Some of the list scammers we are familiar with are:
ExpoGuide, The FAIR Guide, UTP Digital Directories (fairguide.com), (Construct Data Publishers Verlas AG), Euro Business Guide, Eu company Directory European City Guide, The Millennium Guide, The European Internet Guide, The International Fax Directory or IT&T fax directory Europa-Club & World Travel Register, 1st European City Guide, The Tour and Travel Guide, Verlag Fax Directory, Classified Telefax Pages cdnet.at

These companies offer paid visibility to many of our exhibitors in foreign exhibitor directories and often send along a pre-filled list information form. The international association of trade fair organizers UFI has taken countermeasures, seeking to prevent the operation of these companies through legal means and warns its member companies about list scammers.

Expomark has no affiliation with this company or list, and we are unaware of any benefit or visibility this list could bring to the company. The best way to ensure the accuracy of the list is always to verify with the trade fair organizer.

ACTION:

  • If you are unsure in the future whether a list information request is related to your own participation in a trade fair, contact your contact person at Expomark Oy.
  • If you have already responded to such a scam information request and received an invoice, do not pay the invoice. You can send a message to the sender of the invoice stating that you will not pay the invoice. It is not advisable to react further to these invoices and collections. In practice, foreign scam firms do not have the means to collect sums for their groundless services.
